Documentation Professional

Type: Full-time/Part-time

The Documentation Professional is an integral part of TILL program administration staff and performs work to maintain compliance with all funding source regulations. The primary responsibility is to assist each assigned program with the development and implementation of electronic documentation. He/She is directly responsible to the Senior Director of Resource Development.

ESSENTIAL JOB FUNCTIONS:

  • Creates electronic client and program library structures within TILL network.
  • Edits electronic library to create consistent structures across programs.
  • Trains all Day and other program staff to read electronic records, provide training in how to use electronic records, and to manage ongoing implementation of electronic records.
  • Prepares electronic document templates to use within the TILL library.
  • Visits day program sites, trains staff on site, and moves priority records to electronic locations. 
  • Scans documents, and stores electronic documents.
  • Administers document lifecycles by required expiration and replacement schedules. 
  • Maintains the overall electronic program record files. 
  • Prepares records for inactive storage according to the Records Retention Schedule. 
  • Copies and scans documents as needed to perform distribution and storage duties.
  • Trains personnel to access the electronic library, to upload records, and to maintain records.
  • Performs and/or supports regular audits of documentation.
  • Performs other duties as assigned.
  • Learn new technologies as assigned to provide documentation support.

QUALIFICATIONS:
High School Diploma or equivalent preferred.  Should have 1 year document and management control functions experience.  A current driver’s license and a car are requirements of the job.  Effective communication skills, both verbally and in writing required.
